COFFEE EXPORTER / BUYER

a)      Launching

Open Mozilla-Firefox and  type “https://demo-ct.tracetracker.com”.

b)     Login

i)                    Enter your username and password then click on Login.

ii)                   Click on cancel it clears the username and password fields/textboxes.

C)     Process

The process section is the transactions section. At the exporter these transactions are disposal instruction, receive coffee, regradding, dispatch and apply for coffee export permit.

i)  The menus are located on the top; they assist the users to navigate through the application.

Disposal Instructions

This document is normally sent by the buyer or the exporter to the curing house instructing them how to bulk the coffee bought for transportation to his/her premises or to the port for export.

  1. Enter the “Disposal Number”.
  2. Select the date by clicking inside the Date field. The default date displayed is of the present day.
  3. Select the “curing house” that the coffee is coming from.
  4. Select the “Exporter Transporter’s”, from the drop down menu.
  5. Select the “Exporter Location” from the drop down menu.
  6. Enter the “Remarks”.
  7. In the storage warranty details, select the storage warranty number, enter the “Number of bags”, “Pockets” and the “remarks”.
  8. If you want to add more click on “new row”.
  9. When done click on the “save” button.
  10. Click on cancel when you want to the “clear” the form.
  11. If the data has been wrongly entered you will get an error message as shown below

Validation on input.

  1. “Disposal number” will accept numeric values.
  2. “Date” will accept date format values e.g. 2011-09-14.
  3. “Remarks” will accept alphanumeric values.
  4. “Number of Bags” will accept only numeric values.
  5. “Number of pockets” will accept only numeric values
  6. “Remarks” will accept alphanumeric values.

If wrong input is entered an error message is loaded on the screen.

 

Receive Coffee

The step is where the exporter receives coffee from the curing house.

  1. On the Process menu click on “Receive Coffee”.
  2. Select the “Invoice Number “From the drop down.
  3. When done click on the “Receive Coffee Button” button.

The below screen is loaded:

  1. Select the date by clicking inside the Date field. The default date displayed is of the present day.
  2. Enter “Received By” – is the exporter / exporter user who is receiving the coffee.
  3. Enter the “Remarks
  4. On the storage warranty details enter the “Bags Received” and the “Pockets Received”.
  5. When done click on the “Receive” button.
  6. Cancel” button navigates the user from this page to the above screen.
  7. If the data has been incorrectly entered you will get an error message.
  8. If the data has been correctly entered you will get an error message.

Validation on input.

  1.  “Date” will accept date format values e.g. 2011-09-14.
  2. “Received by” will accept text values
  3.  “Remarks” will accept alphanumeric values.
  4. “Bags Received” will accept only numeric values.
  5. “Pockets Received ” will accept only numeric values

If wrong input is entered an error message is loaded on the screen.

Dispatch

This is used for the exporter to dispatch the coffee to the client.

  1. Enter the “Invoice Number”.
  2. Select the date by clicking inside the Date field. The default date displayed is of the present day.
  3. Enter the “Client” name.
  4. Enter the “vessel” name.
  5. Enter the “transport mode”.
  6. Select the “Shipment to dispatch”.
  7. Enter the “number of bags”.
  8. Enter the “pockets”.
  9. Enter the “Unit price”.
  10. If you want to add more click on “new row”.
  11. When done click on the “save” button.
  12. Click on cancel when you want to the “clear” the form.
  13. If the data has been wrongly entered you will get an error message as shown below

General

This section consists of standing data. This data does not change often e.g. change password, exporter user registration, exporter location, exporter transporter and exporter users..

You can only define the data once in the system and the data will be available automatically during transactions.

Change Password

This form enables users to change their username and password.

  1. Change the username, if the “user” wishes to change the username.
  2. Enter the old password
  3. Enter the new password, it should be different from the old password
  4. Re-type the new password.
  5. If the details aren’t entered correctly, an error message is displayed, as shown below

Validation on input.

  1.  “User name” will accept alphanumeric values.
  2. “Password” will accept alphanumeric values.

If wrong input is entered an error message is loaded on the screen.

Exporter Registration

The exporter user registration form provides the exporter with the opportunity to register new exporter user basic information as shown below.

  1. Enter the exporter user “National Identification Number”.
  2. Enter the exporter user “First Name”.
  3. Enter the exporter user “Last Name”.
  4. Enter the “address” where, he/she is located.
  5. Enter the “phone number”.
  6. Enter the “staff code”.
  7. Enter the “username” that the user will be using to log in into the system.
  8. Enter the “Password”.
  9. Re-type the “Password”
  10. Select “active or not active”, if not active the curing house will not be able to log in into the system.
  11. Select the “access level” – if admin the user will be able to view all pages, non-admin the user will not be allowed to view some pages
  12. When the details are all entered, click “Register Exporter user”.
  13. The “Reset” button clears everything from the page.
  14. If the details aren’t entered correctly, an error message is displayed, as shown below

Exporter Transporter Registration

The exporter transporters registration form provides the exporter user with the opportunity to register the exporter transport basic information as shown below.

  1. Enter the “Transporter Code”.
  2. Enter the exporter user “Transporter Name”.
  3. When the details are all entered, click “Register Transporter”.
  4. The “Reset” button clears everything from the page.
  5. If the details aren’t entered correctly, an error message is displayed, as shown below

Exporter Location Registration

The exporter locations registration form provides the exporter users with the opportunity to register the exporter location  basic information as shown below.

  1. Enter the “Location Code”.
  2. Enter the exporter user “Location Name”.
  3. When the details are all entered, click “Register Location”.
  4. The “Reset” button clears everything from the page.
  5. If the details aren’t entered correctly, an error message is displayed, as shown below

  1.  “Location code” will accept only numeric values.
  2. Location Name” will accept only text values.
